    Workshop management for a car service chain

    The starting point

    Appointments were arranged by phone, and at peak times a good share of calls went unanswered β€” those customers typically ended up at a competitor. Vehicle intake was done on paper, damage noted at hand-over was hard to prove later, and customers only learned the status of their car if they called in themselves. Nobody could see the capacity of the three workshops in one place.

    Our solution

    We built an online booking interface that offers slots across all three workshops based on the time requirement of the job type and the actual occupancy of the lifts. At intake the mechanic records the mileage on a tablet and photographs the car all around, and the customer signs on screen. Automatic SMS and email notifications go out at every stage of the repair, and quotes for additional work can be approved by the customer from their phone with a single link β€” no phone calls needed.

    The outcome

    A significant share of appointments now arrives online outside opening hours, and the front desk can focus on customers instead of ringing phones. Since the photo-based intake protocol, hand-over disputes have practically disappeared. After the rollout the chain opened its fourth workshop, which the system absorbed without modification.
